Solutions – TBM - Time and Billing Manager
 

TBM consists of two components – Time and Billing. Time Manager can operate without Billing Manager. However, Billing Manager requires Time Manager for capturing timesheet data.

The time and billing modules are aimed at several markets. The first market is for a comprehensive timesheet entry and costing system that can co-exist with any host system. The Scenario Time Manger software does not require any other Scenario Advantage modules and is designed to allow ready interfacing to any client host system.

The separation of systems also allows much tighter security to be enforced on sensitive payroll information.

The second market is for design, consulting and contracting organisations that need to bill their time to clients – the Billing Manager component.

 
 
 
Provides flexibility in the choice of timesheet user interface employed – daily, weekly, monthly
 
Employee direct entry or via Proxy users entering for group or team of personnel
Dual authorization available – by project manager and department manager
User-defined columns on timesheet entry, eg. Location, Client Contact, Drawing Number.
Provides flexibility in the mechanism for importing, storing and exporting the collected timesheet data without complicating the main Scenario Advantage database
Does not require existing Scenario Advantage installation, so clients can choose to benefit from Scenario Time Manager even if no other Scenario Advantage modules purchased.
 
       
 
Time Manager does not include any payroll functions, but the collected timesheet data may be exported for inclusion in other systems such as Payroll or General Ledger. As well as capturing on-project worked time, Time Manager will also capture off-project worked time and non-worked time such as annual leave and sick leave. Data capture can be done using Time Manager by individual employees for their own timesheets or by an authorised person for all timesheets for a group of employees, or automated via data-transfers from time-attendance software.

Although the emphasis of Time Manager is on the collection of hours-based data, provision for the collection of other data related to the work is available and exportable to other systems such as Billing and Costing. These additional items include collection of expenses, mileage, machine operated hours, plant dockets.

Time Manager will also go beyond the data capture facilities and provide comprehensive functionality to interrogate and analyse the captured data. The data will be summarised by various periods (day, week, month) and grouped by user selected items to permit analysis of productivity and management of the workforce.

Time Manager provides an efficient and effective means for collection of timesheet data, and allows supervisors to quickly identify missing data or errors and then easily determine the source of the problem data for correction.

 
 
 
Billing Manager is used to generate billings for staff engaged on any type of work for both internal and external clients. The main benefits are:

In addition to the features already found in Scenario Advantage, the billing system will enable:
 
Charge code external rates by project, staff and standard rates
 
Project setup options to indicate Billing system is used on a project
The generation of ‘draft’ billings for review on screen or printed
Ability to edit the generated draft billing
 
Staff and site workers within project based organisations are usually costed to a project. In addition, the terms of engagement are such that the time spent may also be invoiced or billed to the client. Within larger organisations, the clients can be external parties, internal departments, internal projects, or internal organisational cost centres etc. This results in the need for certain key requirements:
 
Ability to define external charge rates for staff
 
Ability to define external charge rates by project
Ability to generate a draft bill for review
Ability for management staff to edit or adjust the generated data to tailor the data for the client while retaining the original data
Ability to flag the transactions once the management staff approve the draft bill
Generate invoice report
